UBC Group Venues and Inigo Business Centres Limited Meeting Room Terms and Conditions

1. We, the Venue Operator will endeavour to satisfy your requirements, however, we will not be liable for any claim, loss or damage sustained by the client as a result of the Venue Operator failing to provide meeting rooms or additional services, to include availability of audio, visual, internet connectivity and presentation equipment beyond their reasonable control.
2. We the Venue Operator under no circumstances be liable for any consequential loss, loss of profit or business suffered by the client.
3. We the Venue Operator will be indemnified against any claims, liability or loss arising from any breach of this agreement by the client or from negligence or omission by the client.
4. The additional services available at the Business Centre will sometimes require the services of a third-party supplier or service provider. We the Venue operator will under no circumstances accept liability for any consequential damage or loss caused by those instructed. Full details of services (including cost) are available from Venue reception.
5. In the event of any cancellation, the client should inform the Venue in writing but the Venue reserves the right to apply charges and any other expenses incurred.
6. For any cancellation received within 1-2 weeks before the venue date, the amount charged will be 50% of the total amount invoiced.
7. For any cancellation received within 48 hours and up to 7 days from the venue date, the amount charged will be 75% of the total amount invoiced.
8. For any cancellation received within 48 hours or less, the amount charged will be 100% of the total amount invoiced.
9. For all venue date no-shows, the amount charged will be 100% of the total amount invoiced.
10. Payment for all meeting rooms and additional services should be paid for immediately with a completed and signed booking/agreement form.
11. Payment for all meeting rooms and additional services for existing clients who have an existing signed agreement will be invoiced accordingly under the agreed terms and conditions.
12. This agreement is governed by English Law.
13. This agreement is made between the Venue Operator and the Client in respect of the requirements and services agreed as above. The Client agrees to pay the total amount in accordance with the Terms and Conditions. This agreement is made on the Terms and Conditions published by UBC UK Ltd ("The Terms and Conditions"). The client confirms that it has read and understood and agrees to be bound by the Terms and Conditions and the operator agrees to provide the services and facilities
14. The Late Payment of Commercial Debts (Interest) Act 1998. UBC UK Limited, its group companies and Inigo Business Centres have an accounting policy which includes the terms of the above act. The rate of interest that may be claimed will be in accord with the act at a percentage of 8% above the Bank of England base rate. If any amount falls due, a monthly administration charge of twelve pounds per month may be incurred and interest will be added and charged at a daily rate.
15. Money Laundering, Terrorist Financing & Transfer of Funds Regulations 2017 (MLR 2017). We operate our business in accordance with the above regulations and we may be required to verify the identity of those we deal with. This may include checking against electronic and other databases (public or otherwise). If necessary we will make such enquiries as may be deemed appropriate from time to time and may report any unusual transactions to the appropriate authorities. Proper forms of identification (e.g. passport) will therefore be required.
16. General Data Protection Regulation. Under General Data Protection Regulation (GDPR) we reserve the right to appoint third-party suppliers, debt collection and tracing agents to assist with the processing of this application and in the event of any future default or any breach of any terms or conditions. The information on this form may also be used to verify identity. That information will be held securely on our systems. It will not be passed to any other party without your express permission unless we are required to do so by law or regulation. We will store the information and our verification thereof in accordance with relevant legislation for as long as is reasonably necessary after which it will be destroyed. The Act confers rights of access to certain information we hold. Details are available on request. In addition, this information may be used for the prevention or detection of offences for fraud prevention purposes. We may share any information we collect with the Police to assist with investigations and/or enquiries as well as other public or private sector agencies or representative bodies including the Flexible Workspace Association, complying with legislation and in accordance with relevant statutory and regulatory obligations. Information shared in this way will not be used by third parties for marketing purposes.
